# Overview

> View payment attempts, collections, success rates, and failures across your organisation by date range, grouping, and filter.

## Introduction

The Payments report gives you a view of payment activity across your organisation for any selected date range. It tracks attempts, successful payments, collection amounts, and failures, grouped by branch, LOB, or shop, and lets you export the underlying records as a CSV.

You can use this report to:

* Review how much was collected in a given period
* Identify payment failure and drop-off trends
* Compare payment activity across branches or locations
* Export payment-level data for finance reconciliation

***

## Opening the Report

Open **Data and Reports** from the left navigation bar, then select **Orders** as the domain and **Payments** as the view.

The page is organised into three areas from top to bottom: the filter and configuration panel, the summary tiles, and the chart panel.

The breadcrumb at the top reads **Orders / Payments**. Use the back arrow to return to the domain selector.

**Top right controls:**

| Control | What it does |
| - | - |
| Add comparison | Overlays a second data set on the same chart |
| Export Payments | Opens the export modal to download a CSV |
| Manage filters | Opens the saved filter management page |

## Configuring the Report

### Set the Date Range

The date range selector sits in the top bar and applies across the entire report. Set your start and end date before running any query.

![Date Range](https://mintcdn.com/neuroncx/8Gbcg0XvhxZSXap1/images/date_range-1.png?fit=max\&auto=format\&n=8Gbcg0XvhxZSXap1\&q=85\&s=6bf7e2a7313c9d4dbe3e2352f1391ff0)

### Saved Filters

Any filters previously saved for the Payments view appear as clickable tabs below the breadcrumb. Click a tab to load that filter set immediately. If no filters have been saved yet, the panel shows **None saved for this domain yet**.

Click **Manage filters** (top right) to edit or delete saved filters.

![Saved Filters](https://mintcdn.com/neuroncx/q-mzOzO6w9pAD2SV/images/saved_filter.png?fit=max\&auto=format\&n=q-mzOzO6w9pAD2SV\&q=85\&s=0ee4f2eaa250fabece461afed57c8950)

### Rules and Filters

**Granularity** sets how data points are grouped across the date range:

| Option | What it does |
| - | - |
| Monthly | One data point per month |
| Weekly | One data point per week |
| Daily | One data point per day |
| None | No time grouping. Returns the total for the full date range. |

**Canonical** sets the primary metric the chart and tiles measure:

| Option | What it measures | Date anchor |
| - | - | - |
| Payment Attempt | Every payment submission, regardless of outcome | Date created |
| Successful Payment | Completed submissions only | Date completed |
| Collection | Total amount collected (sum, not count). Gross figure; refunds are not netted off. | Date completed |

> [!NOTE]
>
> Collection is a currency value, not a count. Switching to Collection changes the chart y-axis from number of payments to amount collected.

**Grouping** splits the chart bars by a dimension:

| Option | What it splits by |
| - | - |
| None | No split. Shows one series for the full organisation. |
| Shop | Splits by shop or branch location |
| LOB\_GP | Splits by line of business group |
| Location\_GP | Splits by location group |

### Adding Rules and Fetching

**1. Set the combinator**

Select **AND** or **OR** from the dropdown to control how multiple rules combine.

![Combinator](https://mintcdn.com/neuroncx/8Gbcg0XvhxZSXap1/images/and_or.png?fit=max\&auto=format\&n=8Gbcg0XvhxZSXap1\&q=85\&s=2f7528ef26f45f8681f03d5989e9d4cc)

**2. Add a rule**

Click **+ Add Rule**. Each rule has three parts: field, operator, and value.

![Rule](https://mintcdn.com/neuroncx/q-mzOzO6w9pAD2SV/images/rule.png?fit=max\&auto=format\&n=q-mzOzO6w9pAD2SV\&q=85\&s=b844facc5e2f766d79ed5eeb5ebb932a)

**Available fields:**

| Field | What it filters on |
| - | - |
| Payment Gateway | The payment gateway instance used (e.g. Ovum Banashankari Razorpay) |
| Payment Status | The current status of the payment submission |
| LOB | Line of business |
| Branch | Branch location |
| Transaction Phase | Phase of the linked transaction |
| Transaction Stage | Stage of the linked transaction |
| Order Status | Status of the linked order |
| Source | Source or UTM attribution of the linked order |
| Archival Status | Whether the linked transaction has been archived |

Operators vary by field. For example, Payment Gateway offers **In List**, **Equals**, and **Any**.

![Operators](https://mintcdn.com/neuroncx/q-mzOzO6w9pAD2SV/images/operator.png?fit=max\&auto=format\&n=q-mzOzO6w9pAD2SV\&q=85\&s=8382bece8a303d97c8b4fb585b672c62)

Click the value field to open a searchable dropdown scoped to your institution. Select one or more values. Each selected value appears as a removable tag. Click the x on a tag to remove it.

**3. Fetch the report**

Click **FETCH** to run the query. The summary tiles and chart update with the filtered results.

![Fetch](https://mintcdn.com/neuroncx/8Gbcg0XvhxZSXap1/images/fetch-1.png?fit=max\&auto=format\&n=8Gbcg0XvhxZSXap1\&q=85\&s=1f00d3948ec22e5dd037e6648d8cc28f)

Click the reset icon (circular arrow) to clear all rules. Click **+ Filter** to add a filter group.

> [!WARNING]
>
> The report does not load automatically. Click **FETCH** after setting your options to see results.

## Summary Tiles

![Summary Tiles](https://mintcdn.com/neuroncx/fdat7XQx6JFkCX1i/images/summary_tiles.png?fit=max\&auto=format\&n=fdat7XQx6JFkCX1i\&q=85\&s=13e84e673c8176845083ba24e6d868fb)

Four tiles appear below the filter panel and update each time you fetch.

| Tile | What it shows |
| - | - |
| Collected | Total number of successful payments in the selected range |
| Success Rate | Percentage of payment attempts that completed successfully |
| Failed | Number of payment attempts that failed |
| Refunded | Number of refunded payments |

> [!WARNING]
>
> The Refunded tile currently shows 0. Refund data is not yet populated in the reporting layer.

## Payment Attempts Chart

![Payment Attempts Chart](https://mintcdn.com/neuroncx/q-mzOzO6w9pAD2SV/images/payment_attempted.png?fit=max\&auto=format\&n=q-mzOzO6w9pAD2SV\&q=85\&s=c823d7a8b5b56908d17cdd4b507b7bf7)

The chart section shows **Payment Attempts by X Label** with a total count headline and a **by date created** tag indicating the date anchor in use.

The x-axis is bucketed by the selected granularity. If a grouping dimension is selected, bars within each period are split by that dimension and colour-coded with a legend below.

Use the four icons above the chart to switch the view:

| Icon | View |
| - | - |
| Table | Data grid showing the same values as the chart |
| Bar | Grouped bar chart (default) |
| Pie | Proportional breakdown |
| Line | Trend line over the selected period |

To compare this report against another filter or the previous period, see [Comparing Reports](https://docs.neuroncx.in/data-and-reports/payment-reports/comparing-reports).

## Exporting Payments

Click **Export Payments** (top right) to open the export modal.

![Export](https://mintcdn.com/neuroncx/8Gbcg0XvhxZSXap1/images/export-1.png?fit=max\&auto=format\&n=8Gbcg0XvhxZSXap1\&q=85\&s=6cb2ef70fffc825fbd0c710ec71eff97)

The modal shows the date range being exported and offers two options:

| Option | What it exports |
| - | - |
| Export All Records | All payment submissions in the selected date range, ignoring any active query rules |
| Export Filtered Records | Only the records matching your current query rules |

The export is a CSV file with one row per payment submission. The row count and amount totals match what is shown on screen for the same date range and filters.

> [!NOTE]
>
> Exports run as a background job. Download the file once the job completes.

## Quick Reference

### Refunded tile shows 0

Refund data is not yet available in the reporting layer.

**Recommended action:** Use raw payment records from your payment gateway for refund figures in the interim.

### Agent grouping returns an empty chart

Payments are triggered by system workflows and do not carry an agent at source. Grouping by Agent produces no data.

**Recommended action:** Use Branch or Shop grouping to attribute payment activity to a location instead.

### Saved Filters panel shows "None saved for this domain yet"

No filters have been saved for the Payments view.

**Recommended action:** Click the bookmark icon in the breadcrumb bar after running a query to save that filter set for reuse.
